Patient Management Overview
InSched includes comprehensive patient and customer management capabilities. Patient records are central to the system, linking to scheduled events, treatment plans, billing, charting, and communications.
Patient Records
Each patient record contains:
- Demographic information: Name, address, phone numbers, email
- Contact history: Date of initial contact
- Treatment plans: One or more plans with stages tracking the patient's journey
- Scheduled events: All past and future appointments
- Billing records: Charges, payments, and insurance information
- Chart entries: Paperless medical records and documents
- Communication history: Emails, text messages, and portal communications
Key Features
Integration with Scheduling
When you create a new event, you can search for and select a patient directly from the Edit Appointment dialog. If the patient doesn't exist yet, you can create a new patient record on the fly using F8. This tight integration ensures that patient records are created at the right time - when the first appointment is made - rather than being left for later.
Plans and Stages
InSched tracks patient progress through treatment plans with defined stages. For cosmetic surgery practices, the typical stages are:
Inquiry → Appointment → Consultation → Surgery Scheduled → Surgery Completed
InSched can automatically prompt for stage updates when scheduling actions occur, ensuring that the CRM stays current. See Plans and Stages for details.
Special Issues
Patients can have "Special Issues" notes that alert staff to important considerations. When a patient with Special Issues is selected for an event, the notes are automatically displayed and added to the event's Alert Notes.
Audit Trail
All changes to patient records are tracked in the audit trail with timestamps, operator initials, and station information. See Audit & History for details.
