Event Status Workflow
Every event in InSched has a Status that tracks its lifecycle from creation through completion. Status changes are recorded in the Audit Trail.
Available Statuses

| Checked Out | Patient has completed the appointment and left | |

| No Show | Vertical stripe on left side of event | Patient did not arrive for the appointment |
| Canceled | Criss-cross stripes (horizontal and vertical) | Appointment was canceled |

Any status can also be cleared back to None using Clear Status.
Changing Status
From the Context Menu (Right-Click)
Right-click on an event to access status changes:
- Check In - Mark the patient as arrived
- Check Out - Mark the appointment as complete
- Check Back - Mark a checked-out patient as returned
- No Show - Mark the patient as a no-show
- Cancel - Mark the appointment as canceled
- Clear Status - Reset the status to None
From the Edit Appointment Dialog
Open the event for editing and change the Status field directly.
From the Events Menu
Select the event, then use the Events menu to access the same status actions.

Bulk Check Out
Select Events > Check Out All Checked In Events to check out all events that are currently in Checked In status. This is useful at the end of the day.
Confirming Events
Confirmation is tracked separately from the event status. When you confirm an event, the Last Confirmed Date is recorded.
To confirm an event:
- Right-click and select Confirm, or
- Press Ctrl+F5, or
- Click the Confirm button in the Edit Appointment dialog
InSched supports multiple confirmation types:
- Spoke to patient
- Received message from patient
- Spoke to someone else
- Left voicemail
- Sent message to patient
- Other method
If you are using PatientConnection for text message reminders, confirmations from patients are automatically recorded.
Visual Indicators
InSched uses visual cues on the schedule to indicate event status:
- No Show: A vertical stripe along the left side of the event (default: Black)
- Canceled: Criss-cross stripes (default: Blue)
- Checked In: An icon on the event (configurable in Preferences)
- Confirmed: An icon on the event (configurable in Preferences)
The colors for these indicators can be customized per Event Type during setup. This allows you to choose contrasting colors that work well with each Event Type's background color.
Canceled Events Visibility
By default, canceled events are hidden from the schedule to reduce clutter. To show or hide canceled events:
- Select View > Show Canceled Events from the menu
- Canceled events appear with criss-cross striping to distinguish them from active events
Status and CRM Integration
When InSched is connected to the Inform & Enhance CRM system, certain status changes can automatically trigger stage changes in the patient's treatment plan. For example:
- Checking in a consultation patient can advance their stage to "Consultation"
- Scheduling surgery can update the stage to "Surgery Scheduled"
- A no-show or cancellation can trigger appropriate follow-up actions
These integrations are configured through Event Type Trigger Types during setup.
