Recurring Events
InSched supports comprehensive recurring event patterns, allowing you to create events that repeat on daily, weekly, monthly, or yearly schedules.
Creating a Recurring Event
When creating or editing an event (or block), click the Repeating button to open the Select Repeating Info dialog.
Recurrence Patterns
Not Recurring
The default. The event occurs once on the specified date.
Daily
The event repeats every N days.
- Set the Frequency to control the interval (e.g., "every 2 days")
Weekly
The event repeats on selected days of each week. This is the most commonly used pattern for blocks.
- Frequency: Every N weeks (e.g., every week, every other week)
- Day Selection: Check the boxes for the days of the week (Sunday through Saturday)
Example: A surgery block every Monday, Wednesday, and Friday would use Weekly recurrence with a frequency of 1, and Monday, Wednesday, and Friday checked.
Monthly
The event repeats on a monthly schedule. Four sub-patterns are available:
- By Day: Same date each month (e.g., the 15th of every month)
- By Day from End: Counting from the end of the month (e.g., the last day, or the 2nd-to-last day)
- By Week: A specific weekday occurrence (e.g., the 2nd Tuesday of every month)
- By Week from End: A specific weekday counting from the end (e.g., the last Thursday of every month)
Set the Frequency to control the interval (e.g., every 2 months, every 3 months).
Example: A Botox clinic on the second Tuesday of every month would use Monthly recurrence, "By Week" sub-pattern.
Yearly
The event repeats on the same date every N years.
- Set the Frequency to control the interval
Date Range
Every recurring event has a Start Date (From). You can optionally set an End Date (To). If no end date is set, the event repeats indefinitely.
Preview
As you configure the recurrence, a text preview at the bottom of the dialog shows a human-readable description of your settings, such as:
"Every 2 weeks on Mon, Wed, Fri from Jan 15, 2024 to Dec 31, 2024"
Review this carefully before clicking OK.
Editing Recurring Events
When you select a recurring event to edit, the Edit Recurring Event dialog asks how you want to apply your changes:
| Option | Effect |
|---|---|
| This Instance Only | Modifies only this single occurrence. This "breaks" the instance from the rest of the series. |
| This Date Forward | Modifies this occurrence and all future occurrences |
| All Instances | Modifies every occurrence in the entire series |
Deleting Recurring Events
When deleting a recurring event, you are similarly asked whether to delete just this instance, from this date forward, or all instances.
Common Uses
Blocks
Recurring events are most commonly used for Blocks, which define the available time slots for your practice:
- Surgery blocks (e.g., every Monday and Wednesday morning)
- Consultation blocks (e.g., every weekday afternoon)
- Aesthetician blocks (e.g., every Tuesday and Thursday)
Standing Appointments
Recurring events can also be used for standing appointments:
- Weekly staff meetings
- Monthly committee meetings
- Call coverage schedules
- Regular patient appointments (e.g., weekly therapy sessions)
Tips
- When setting up your practice for the first time, define your Block schedule using recurring events before scheduling individual appointments.
- If your block schedule changes (e.g., a provider's availability changes), edit the recurring block "from this date forward" rather than deleting and recreating it. This preserves the historical record.
- Individual instances of recurring events can be modified or deleted without affecting the rest of the series.
